TERMS OF SERVICE

TERMINOLOGY
As used in these Terms of Service:

“Activity” or "Activities" means each recreational or entertainment activity in the course of the trip.

“Traveler” refers to the participant taking a trip with us or in some cases the legal guardian representing them.
-
“Trip” refers to the all-inclusive group vacation tours as listed on our website or other marketing materials.
-
TRAVEL ELIGIBILITY, EXPECTATIONS AND BEHAVIORS
-
Trips Inc.™ ("Trips Inc.") provides all-inclusive supported group vacation tours for travelers 18 and older with intellectual and developmental disabilities.
-
Travelers who are eligible to participate in the standard chaperone support must be able to:
-
Travel in a small group responsibly with a supervision ratio of 1 chaperone per every 4 travelers.
-
Provide their own personal care independently or with verbal reminders only (chaperones cannot provide any hands-on care).
-
Self-administer their own medication independently or under the supervision of a chaperone who can hand them their presorted medications.
-
Interact with other people in a considerate and respectful way.
-
Follow directions and cooperate with the tour group leaders and chaperones.
-
Be safe when unaccompanied during nights, rest periods, and/or traveling independently by air.

Travelers who are eligible to participate with a Personal Care Chaperone (PCC) for 1:1 support must be able to:

Provide and pay for their own PCC to accompany them on the trip to provide their 1:1 support, including but not limited to hands-on personal/medical care, 24-hour assistance, and/or line-of-sight/earshot/arm's length supervision.

Interact with other people in a considerate and respectful way.
-
Follow directions and cooperate with the tour group leaders and chaperones through the assistance of their PCC.
-

By booking a trip, the traveler and or their guardian represent and certify that the traveler: (i) have carefully selected a trip that is appropriate for their abilities; (ii) ensure the traveler is physically and mentally fit enough to participate in the trip activities and has no medical condition which would prevent participation; (iii) have consulted with a personal physician as appropriate before the traveler’s participation in the trip; and (iv) will immediately advise Trips Inc.™ if the traveler is unable to meet the safety requirements that are necessary for the safe operation of the trip or activity. If the traveler's circumstances change between the date of booking and the trip departure, you must inform Trips Inc.™as soon as possible and advise of any special requests.

Submitting a trip registration does not guarantee placement on the trip selected. A traveler's placement on the trip is only confirmed after the completion of all required paperwork and upon receiving the required deposit. On occasion, more registrations are submitted than spaces are available (prior to the trip closing). When this occurs, placement will be confirmed and a waitlist will be started based on the order in which registrants complete all required steps.
SUPERVISION AND SUPPORT

Trips Inc.™ strives to provide support ratios that adequately meet the needs of each traveler at the vacation destination. The average chaperone support ratio is 1 chaperone to 4 travelers (1:4), with a typical range of 1:2 to 1:6 depending on a variety of factors including but not limited to: traveler specific needs or preferences, the travel destination, travel details and logistics, specific group needs, etc.

Trips Inc.™ reserves the right to modify support ratios as needed to best meet the needs of the travelers and/or group at any time.

Trips Inc.™ chaperones can assist travelers with reminders for daily care, managing money, and holding medications to hand to the traveler to self-administer. No hands-on personal/medical care is provided by Trips Inc.™ chaperones.

Trips Inc.™ travelers are required to prepare for the vacation as directed in the pre-trip information sent out prior to the trip. This preparation helps to ensure a safe, organized and enjoyable group travel experience for everyone.

It is the responsibility of the traveler and care providers to ensure Trips Inc.™ has the most recent versions of all health/safety protocols (e.g. for seizures, behaviors, diabetes, fall risk, choking, etc) if changed or updated after registration and prior to the vacations departure. Trips Inc.™ must have sufficient notice to review these changes and to determine if an appropriate level of support can be provided or arranged prior to the vacation departure.

Trips Inc.™ will make reasonable efforts to follow protocols/support plans and accommodate special diets, but cannot guarantee strict adherence to these due to the nature of group travel.

Additional charges may be incurred at any point for travelers who require more supervision/support than indicated during trip registration or in the time leading up to the vacation.

Trips Inc.™ reserves the right to determine an appropriate staffing ratio for a traveler. If the necessary level of assistance is misrepresented on the traveler paperwork, the traveler may be turned away at check-in or sent home during a trip. This is to ensure the safety and trip enjoyment of the traveler and the group.

Trips Inc. does not provide line-of-sight, earshot, arm's length or any other type of full-time 1:1 supervision. Trips Inc. group members stay together during the trip, and staff and chaperones stay on-site at the group lodging facility overnight, however a staff or chaperone may not be in your traveler’s room overnight or during rest breaks. If the traveler chooses not to participate in any group activities, the staff and/or chaperones will do their best to determine a safe plan to support the traveler, but at times this may mean the traveler is not with the group, staff, or chaperones depending on the team’s determination. Travelers needing line-of-sight, earshot, arm's length or any other type of 1:1 supervision will need to provide and pay for their own PCC for 1:1 support.

To ensure the safety and well-being of travelers, Trips Inc. reserves the right to utilize location tracking devices (e.g., Apple AirTag or similar technologies) as deemed necessary by the staff and chaperones. These devices will be used solely for the purpose of monitoring a traveler's location in situations where it is determined to be in their best interest, such as for safety, supervision, or logistical coordination. By participating in our programs, travelers (or their legal guardians, if applicable) consent to the use of such location tracking measures, with the assurance that all data will be handled responsibly and in accordance with applicable privacy laws.

The responsibility of Trips Inc.™ for the traveler begins when the traveler and the chaperone meet for the vacation and ends when the traveler departs from the chaperone at the conclusion of the vacation. If the traveler is flying home alone, the responsibility of Trips Inc.™ terminates when the traveler is turned over to the airlines/transport company. Travelers may have to wait at their departing airline gates unattended by a Trips Inc.™ chaperone.
Personal Care Chaperone (PCC) for One-on-One (1:1) Support

Travelers who require hands-on personal/medical care, 24-hour assistance, and/or line-of-sight, earshot, or arm's length supervision, need to bring a Personal Care Chaperone (PCC) to provide them with 1:1 support for their safety and well-being. Occasionally, individuals who do not require 1:1 support at home, do require 1:1 support while traveling due to frequent transitions, physical demand of activities, crowded spaces, unfamiliar places/activities and uncontrollable situations that may arise.

It is the traveler’s responsibility to provide and pay for their PCC to go on the trip. The traveler is responsible to pay for their package price as well as the same package price for their PCC’s spot on the trip, and any other related costs including but not limited to extra airfare costs, additional overnights required, upgrades to the package, daily rate the PCC may charge, etc.

PCCs are support staff hired and brought on the trip by the traveler only for the purpose of supporting the traveler. Trips Inc.™ does not hire or compensate PCCs, it is the sole responsibility of the traveler to do so.

The traveler and their PCC will share a double room on most trips, however on some trips (including but not limited to Hawaii, Dude Ranch, and Oregon Camp), due to restricted rooming configurations the traveler and PCC may have to share rooming spaces with other travelers, chaperones, or group members.

Many trips require a lot of walking, long travel days and often time late nights and early mornings. It is essential that the PCC has the physical abilities and stamina for such a schedule.

The PCC is entirely responsible for supporting the traveler's mobility, personal and health needs, it is critical they are able to do this 24/7 without support from Trips Inc. staff. It is the responsibility of the traveler or individual supporting the traveler in signing up for the vacation to make sure the PCC is fully aware of the personal, medical and/or behavioral support needed by the traveler.

Trips Inc.™ has a no alcohol or drugs policy for all chaperones, including PCCs, to ensure a healthful, safe and secure environment for everyone traveling. PCCs should be aware that the use of tobacco products are strictly restricted or prohibited at some destinations due to the policies of the travel destination (including but not limited to Disney properties, Universal properties , some hotels, etc).

The individual chosen to be the PCC must be reliable and committed to attending the trip. Do not register a PCC for a trip if there may be any conflicts with them keeping the commitment. Onced individuals are booked for trips, making changes can be extremely expensive and difficult. If changes are made, the traveler will be responsible for any additional costs or fees associated with the changes.

The traveler and/or their primary contact is responsible for communicating all travel information shared by Trips Inc.™ with the PCC to ensure smooth, safe and organized travel arrangements for the traveler.

Trips Inc.™ retains the rights to discuss information deemed necessary with the assigned PCC to ensure a smooth, safe and successful trip for the traveler and PCC.
Group Care Chaperone (GCC) for 3 or more Traveler Group
-
Each of the travelers coming with a Group Care Chaperone (GCC), must be: 1) fully ambulatory and able to walk all day without wheelchair support while traveling; 2) fully independent with self-care (not requiring any hands-on-care for bathing, eating, toileting, etc.); to ensure a safe and enjoyable trip for the entire group.

Only the base package price for the trip of the GCC will be covered (considered “free”). All costs beyond the base package price for the GCC must be paid for by the travelers in the group, including but not limited to extra airfare costs, additional overnights required, upgrades to the package, daily rate the GCC may charge, etc. This offer is only valid on domestic trips within the United States.

The travelers are required to identify/hire their GCC and are fully responsible to pay the hired individual directly if any associated daily rates/costs are charged by them to provide the service. GCCs are support staff hired and brought on the trip by the travelers only for the purpose of supporting the travelers. Trips Inc. does not hire or compensate GCCs, it is the sole responsibility of the travelers to do so.

The travelers and their GCC will share room(s) on most trips, however on some trips (including but not limited to Hawaii, Dude Ranch, and Oregon Camp), due to gender and/or restricted rooming configurations the travelers and GCC may have to share rooming spaces with other travelers, chaperones, or group members.

It is the responsibility of the travelers or individual supporting the travelers in signing up for the vacation to make sure the GCC is fully aware of the personal, medical and/or behavioral support needed by the traveler. If one of the travelers has to leave the whole group at any point the GCC is required to take all of their travelers in their group to ensure the whole group ratio stays consistent for safety purposes.

Trips Inc. retains the rights to discuss information deemed necessary with the assigned GCC to ensure a smooth, safe and successful trip for the traveler and GCC.
Additional Chaperone Support

Travelers who can travel safely in a group without 1:1 support, but who require additional support beyond the typical support ratio, may be eligible to pre-arrange and pay for Additional Chaperone Support. Additional support needs vary by traveler but typically address mobility, safety, hygiene, or social-emotional behaviors at the travel destination.

Additional Chaperone Support offers a support ratio of approximately 1 chaperone for 2 to 3 travelers (1:2 or 1:3). Although the typical Additional Chaperone Support ratio is 1:2 or 1:3, support ratios can vary depending on the destination, travel logistics, specific needs or situations that arise, etc.

All Additional Chaperone Support must be approved, pre-arranged and paid for prior to travel.
-
Additional Chaperone Support is provided at the travel destination. Due to travel day logistics Additional Chaperone Support may not be possible on travel days to and from the vacation destination.
-
Additional Chaperone Support is not 1:1 support and does not include hands-on-care or full-time supervision (line-of-sight, arm’s reach, or auditory range supervision).
SLEEPING ARRANGEMENTS AND PERSONAL PRIVACY

Most Trips Inc.™ vacations are based on double or triple-occupancy rooms. Private rooms can be arranged for an additional fee on most trips.
-
All travelers will have their own beds, unless sharing a bed is requested in writing ahead of time by their care providers or guardians.
-
Travelers will only be placed in same-gender rooms with other travelers, unless otherwise arranged with guardian approval.
-
Chaperones stay on-site at the lodging facility overnight, and may share a room with travelers in order to fill lodging rooms. It is not guaranteed that a chaperone will be in a room overnight or during rest breaks with travelers.
-
Trips Inc.™ does not provide 24-hour assistance. Travelers needing 24-hour assistance will need to provide and pay for their own 1:1 personal care chaperone.
-
ADA rooms cannot be guaranteed even if requested as this room type is very limited and subject to availability upon request well in advance.
AIR TRAVEL
-
Starting May 7, 2025, all Travelers and Care Providers passing through airport security at all U.S. airports will be required to have a valid Real ID compliant identification, a state-issued Enhanced Driver’s License/ID (only available in some states), or a Passport. This is a federal requirement with no exceptions. Travelers flying internationally are still required to have a valid Passport Book.

No refund will be issued for any Trips Inc.™ Travelers or Personal/Group Care chaperones that are denied boarding or misses their flight due to their own or their Care Provider's failure to provide required identification at the TSA checkpoint.
-
Roundtrip airfare is included in Trips Inc.™ package prices for all trips (except roadtrips) from Portland, Seattle, San Francisco, Sacramento, Denver, Phoenix, Los Angeles, and Salt Lake City for flights in the continental United States . For Hawaii, international destinations, and cruises, roundtrip airfare is included in the package price from Portland, Seattle, and San Francisco. For travelers flying from other cities, additional airfare costs may be applied. Roundtrip airfare is not included in the package price for our Oregon road trips. For travelers flying to Portland International Airport for a road trip, additional airfare costs will be applied.

Airline tickets and their associated terms and conditions constitute an agreement solely between the traveler and the airline. Any airline tickets issued are subject to the carrier's refund policy. Typically, airline tickets are non-refundable and non-transferable. If a traveler cancels their trip after airline tickets have been purchased, whether or not the traveler gets a refund/credit is subject to the airline ticket policy. Trips Inc.™ will not be liable for any airline’s cancellation penalties incurred by the traveler. It is the traveler’s responsibility to stay apprised of, and comply with, the airlines’ terms and conditions of service and airport security requirements

Trips Inc.™ will make all air transportation arrangements, however, chaperone accompaniment on flights and during transfers is only provided from PDX in Portland, Oregon (SEA starting in 2026). For travelers flying from other cities, we will arrange to meet you at our final destination. Travelers flying independently may need to have their care provider/guardian obtain an airline gate assistance pass to walk travelers through airport security and directly to their flight departure gate. In order to obtain an airline gate assistance pass, caregivers/guardians must be able to present their government issued REAL ID.

As public carriers, the airlines are responsible for the safety of passengers traveling between cities and through airports. If the traveler is not with a Trips Inc.™ chaperone, they are under the purview of the airlines.

For travelers flying independently, Trips Inc.™ will make every effort to book a non-stop flight, however it is not guaranteed. If a direct/non-stop flight cannot be booked, Trips Inc.™ will request that the airlines provide “meet & assist” or wheelchair services to accompany the traveler to the connecting flight gate. Airline staff will not stay with the traveler and cannot provide any personal care support. The traveler must be able to fly on a plane and wait at the gate unaccompanied, and take care of their own personal needs including, but not limited to, using the restroom, purchasing food, and/or taking their medication as prescribed. A Trips Inc.™ chaperone will meet the traveler at their flight’s arrival gate at the final destination. Travelers must reconfirm that the airline will provide the traveler with “meet & assist” or wheelchair gate assistance service for the connecting flight with the airline at check in. These are free services provided by the airlines.

If, due to an unforeseen situation, a chaperone is unable to meet a traveler at the arrival gate, Trips Inc.™ will request an airport/airline staff assist a traveler from the arrival gate to meet a Trips Inc.™ chaperone in baggage claim.

The responsibility of Trips Inc.™ for the traveler begins when the traveler and the chaperone meet for the vacation and ends when the traveler departs from the chaperone at the conclusion of the vacation. If the traveler is traveling alone, the responsibility of Trips Inc.™ terminates when the traveler is turned over to the airlines/transport company.

Travelers are required to pack their luggage as outlined to ensure their luggage meets airline requirements and their belongings are organized in a safe and effective manner for the trip. Trips Inc.™ requests that travelers only bring 1 suitcase + 1 carry-on bag such as a backpack/purse. Bringing too many bags can be stressful and challenging for the traveler and the group. Baggage and personal effects are at all times the sole responsibility of the traveler.

Care providers must carefully review traveler’s luggage to ensure the appropriate clothing (per the Trip Guide emailed to you prior to the trip) and supplies for the entire trip (including, incontinence briefs, feminine hygiene products, etc) are packed. Ensure no liquids/sprays/lotions (larger than 3.4 oz), sharp objects, or lighters are packed in the carry-on bag. Travelers who require assistance with applying sunscreen must bring their own spray-on sunscreen in their checked bag.

Travelers are responsible to pay for their departing and returning checked luggage fees if they choose to check their luggage.

Travelers/care providers are responsible for purchasing any meals that occur prior to the traveler meeting the chaperone as meals are no longer served on flights.
-
Travelers and their care providers must plan to arrive at the airport three hours prior to flight departure to ensure you have sufficient time to check in, go through security (where lines are often long), find your gate and purchase any appropriate meals. No refunds can be issued for travelers who miss their planned vacation departure, and our chaperones cannot wait behind for late travelers.

Upon return, care providers should plan to meet the traveler at the flight arrival gate. Care providers must plan accordingly to give themselves plenty of time to get a gate assistance pass from the airline ticket counter and go through security (REAL ID required) prior to the traveler’s arrival. Additionally, care providers should check online or call the airlines to verify the traveler’s most up-to-date flight arrival time.
MEDICATIONS

Trips Inc.™ staff and chaperones are not licensed medical professionals and are not permitted to administer medications or exercise medical judgment with regards to medications or medical needs. Trips Inc.™ staff and chaperones can assist the Traveler with their medications by holding their medication until it is needed, handing the Traveler their medications, and supervising the Traveler as they administer their own medication, in accordance with the written instructions provided by Traveler, or their legal guardian. The traveler must be fully independent with their own injections, applications of topicals (drops, powders, ointments, etc.), use of inhalation devices, ingestion of medication, blood glucose testing, blood pressure monitoring, or any other hands-on medical care.

Trips Inc.™ staff and chaperones do not fill out medical administration records (MARs).

Traveler is responsible for bringing and taking, all necessary medications, including emergency medications (including but not limited to EpiPen, inhaler, etc.) in an organized manner, and for providing accurate instructions for timing, dosage, and instructions.

All Trips Inc.™ travelers who require a chaperone to hold and help manage their medications must prepare and organize their medications as outlined in the pre-trip travel information. A chaperone will collect the medication upon meeting the traveler at the destination. Any traveler who arrives with medication not packaged in accordance with the directions provided in the pre-trip information may be sent home and no refund will be issued.

Trips Inc.™ requires prescription pills be presorted by medication time and placed in the provided medication envelopes and labeled as directed. Pill bottles and blister/bubble cards are not allowed, due to group travel limitations and logistics, unless the traveler handles their own medications. If needed, the individual pill bubbles can be cut out and sealed in the provided medication envelope.

Trips Inc.™ requires all travelers to send one extra day of medication(s) in case of an unforeseen incident or flight delays.
-
Trips Inc.™ has routine administration times of regularly scheduled meds at approximately 8 AM, 12 PM, 5PM, and 9 PM, unless specified otherwise. Trips Inc. ™ chaperones are not medical professionals and can only assist travelers with taking the meds as per the presorted med envelopes provided.

Trips Inc.™ is not responsible for any medications that need to be taken on travel days prior to meeting a Trips Inc.™ chaperone. Travelers flying alone must be able to administer their own medications if necessary while flying.

Trips Inc.™ does not guarantee in room refrigerators, if any medication needs to be kept cold, travelers must bring necessary cold packs.
-
Travelers who do not require support with medications may prepare their meds however it works best for them. These travelers must be able to hold, administer, manage and safely store their meds (to prevent loss or theft) without chaperone assistance. Medications will not be held or managed for travelers who do not require support with their medications.

Travelers with diabetes must hold/manage their own diabetic equipment and supplies. Trips Inc.™ does not provide any hands-on care with injections, test strips or monitoring blood sugar levels. Refrigerators in rooms are not guaranteed.

Travelers who travel with a personal care chaperone can prepare medications however it works best for them. Personal care chaperones are fully responsible for supporting the traveler in holding, managing, administering, safely storing the medication as prescribed.
MEDICAL EVENTS
-
In the event of an emergency or significant medical event, Trips Inc.™ staff or chaperones, may seek medical treatment for the travelers if determined necessary by their discretion, including emergency medical services. Trips Inc. ™ cannot assume responsibility for any medical expenses that may occur if medical care must be sought.

If a traveler needs to be hospitalized for any reason during a trip, Trips Inc.™ will do its best to monitor the situation and well-being of the traveler but will not provide a staff to stay with the traveler after being admitted. After being admitted to the hospital, all communication with the attending medical staff will be the responsibility of the traveler and/or their caregiver/guardian.

If the traveler is unable to make the scheduled return flight as a result of the medical situation, it will be the responsibility of the guardian/care provider to ensure the traveler get’s home safely. A Trips Inc.™ staff will not be able to stay behind to supervise them. Additional costs incurred as a result of missing a scheduled flight will be the responsibility of the traveler.
WHEELCHAIR USE AND SUPPORTS

Trips Inc.™ offers several wheelchair accessible vacations, some of which have lift vans available. Accessibility information for vacations are provided next to each trip description (on printed and digital materials). It is the responsibility of the traveler and their care providers to choose a Trips Inc.™ trip package that offers the level of accessibility the travelers require. Additional charges may be incurred for travelers who require more support/assistance than indicated.

If the traveler needs a wheelchair to keep up with the group, Trips Inc.™ may be able to provide chaperone support to push them at an additional cost.
-
Trips Inc.™ does not provide wheelchairs for travelers. Any traveler who requires a wheelchair or wheelchair support must bring their own wheelchair. If a manual wheelchair is required, it must be collapsible for travel purposes. Travelers who require a wheelchair but are not sent with one may be sent home and no refund will be issued.
MEALS

Trips Inc.™ provides all meals (breakfasts, lunches, and dinners) while at the destination. Included meals typically begin with dinner on the first night and are provided through breakfast on the final day.

On the first travel day, meals will be covered starting with the time at which the traveler meets a Trips Inc.™ chaperone during all typical meal times. On the return travel day, typical meals will be covered until the point at which the traveler departs from the Trips Inc.™ chaperone (typically to board a plane), and a to-go meal will be provided for the traveler if their flight takes place during a typical meal time.

Travelers may choose to purchase snacks and specialty drinks at their own expense.
-
For food and beverage offerings arranged by us, we do our best to communicate special dietary requests to the vendors and, for pre-packaged retail food and beverage, we rely on supplier/manufacturer ingredient labels. Trips Inc.™ cannot guarantee any offering is completely free of allergens.
MONEY

Trips Inc.™ vacation packages include all the following:

Accommodations at the trip destination

Airfare from select cities, additional costs apply for other cities (see Air Travel section for more details)

Group transportation at the trip destination

All meals at the destination while with Trips Inc.™

Scheduled activities and entertainment at the destination

Trips Inc.™ vacation packages do not include the following:

Spending money for purchasing souvenirs and/or additional specialty food and beverage items

Airline checked baggage fees to/from the destination

All Trips Inc.™ travelers who require a chaperone to hold and help manage their spending money must prepare and organize their money as outlined in the pre-trip travel information. A chaperone will collect the money upon meeting the traveler at the destination.

If a Trips Inc.™ chaperone holds the traveler’s spending money, the chaperones will obtain receipts for all purchases at the destination. Some vendors do not provide register or official written receipts. In this case, we will issue a Trips Inc.™ paid out slip. If we give the traveler small amounts of cash to handle, we will issue a Trips Inc.™ paid out slip.

For all trips (excluding cruises) we recommend traveler’s bring $30.00-50.00 cash per day for souvenirs and treats. For cruises we recommend traveler’s bring $300 cash. A minimum deposit of $200 will be used for the traveler’s “sign & sail” account for purchases on board. The extra $100 can be used for purchases at each port city.

Do not send traveler’s checks for spending money as they are difficult to cash/redeem while traveling.

Travelers are responsible to bring the appropriate money to cover their return baggage fees if they check a bag. Receipts are not collected for airport baggage fees to allow for a more efficient group airport check in process.

Travelers who do not require support with spending money may prepare their money however it works best for them. These travelers must be able to manage their money, collect receipts (if needed), and safely store their money (to prevent loss or theft) without assistance. Money will not be held for travelers who do not require support with their spending money.

Travelers who travel with a personal care chaperone can prepare spending money however it works best for them. Personal care chaperones are fully responsible for supporting the traveler in holding, managing, safely storing and collecting receipts for their spending money.
ALCOHOL, SMOKING, ILLEGAL SUBSTANCES AND GAMBLING

ALCOHOL: Trips Inc.™ will allow a limited amount of alcohol use by travelers if their paperwork indicates it is allowed for them. It is the responsibility of the caregiver/guardian to ensure that if consent is given, the alcohol will not negatively mix with the traveler's medications. Alcoholic beverages must be paid for by the traveler.

SMOKING (including vaping): Trips Inc.™ will allow smoking by the traveler if their paperwork indicates it is allowed for them. Travelers that smoke are expected to follow all smoking rules at the particular location. Travelers who smoke must alert their chaperone if they need to leave the area to smoke. Trips Inc.™ reserves the right to deny a traveler the right to smoke if it is not convenient and/or it presents a safety/health risk to other travelers. Please be aware that smoking is no longer allowed in any Disney park and is significantly limited in many other theme parks.

ILLEGAL SUBSTANCES: Trips Inc.™ does not permit the use of any illegal substances by travelers or chaperones, even when in states that recognize “recreational” use of certain substances.

GAMBLING: Trips Inc.™ will permit gambling by travelers but reserves the right to limit the amount of time a traveler spends gambling to ensure the trip is able to proceed as planned. Trips Inc.™ cannot be held liable for any losses or be responsible for the amount spent on gambling. Staff members will provide reasonable support as needed.

Trips Inc.™ staff, chaperones, and personal/group care chaperones are required to be alcohol and drug free at all times while on the trip.
PAYMENT/DEPOSIT

Trips Inc.™ accepts Visa, MasterCard and American Express (+3% credit card bank fee), bank debits and transfers (fee varies), personal check, cashier’s check or money order.

Deposits are required immediately upon registration and must be received with all paperwork complete in order to secure a spot on the vacation. Deposit amounts for each vacation are listed on the Trips Inc.™ website and brochure.

Full payment is due 90 days before departure for domestic trips and 120 days before departure for international, cruises, and Hawaii vacations.
REFUND POLICY

All cancellations and changes must be in writing and will be calculated as of the date they are received.

Trips Inc.™ reserves the right to cancel reservations and apply the cancellation penalties if full payment is not paid by the final payment due date and/or if the traveler’s required paperwork is not complete or received.

No refunds will be issued for cancellations, changes, or delays due to weather, government-issued travel restrictions, transport delays or cancellations, Acts of God, strikes, civil disturbance, pandemics, or other reasons outside the control of Trips Inc.™.

Change and cancellation penalties will apply if changes or cancellations are required due to actions of the traveler, including but not limited to being refused boarding by airline for any reason, failing to have proper identification required for travel, or inaccurate disclosure of pertinent information related to the support needs of the traveler by the traveler or care provider.

If the traveler misses the planned vacation departure, the traveler will be considered a “no-show” and no refund will be issued.

Trip packages are non-transferable and cannot be sold or reassigned.

Travelers are responsible for any additional, unanticipated charges incurred by Trips Inc.™ on the traveler’s behalf, including but not limited to long-distance phone charges, pay-per-view TV charges, airline or transport charges for special assistance or excess baggage, unscheduled drop-off charges, toiletry, clothing, or medical charges, or extra lodging or meal charges caused by public transport delays or weather. These charges will be invoiced to the traveler after the fact and must be paid within 20 days.
RECOGNITION OF UNIQUE RISKS & LIABILITY WAIVER

Participating in an organized group vacation that incorporates travel and various Activities involving public and private transportation, travel to uncontrolled environments, and physical activities. Trips Inc.™ will do its best to provide a staffing level consistent to address the traveler’s individual supervisory needs, as disclosed to Trips Inc.™, however Trips Inc.™, its staff, and chaperones are not licensed caregivers or medical professionals.

Activities bear certain known and unanticipated risks which could result in injury, death, separation from the group, illness or disease, emotional distress, aggravation of pre-existing mental or physical conditions, failure to take medications as prescribed or damage to traveler, to traveler’s property, or to third parties.

Trips Inc.™ group members stay together during the trip, and staff and chaperones stay on-site at the group lodging facility overnight, however a staff or chaperone may not be in the traveler’s room overnight or during rest breaks. If the traveler chooses not to participate in any group Activities, the staff and/or chaperones will do their best to determine a safe plan to support the traveler, but at times this may mean the traveler is not with the group, staff or chaperones depending on the team’s determination. Trips Inc.™ does not provide line-of-sight, earshot, arm's length or any other type of full-time 1:1 supervision.

While traveling the traveler will be in unfamiliar and uncontrolled environments which may include large crowds, loud noises, heavy traffic, and exposure to weather or sun. It is critical that the traveler is physically and mentally fit enough to travel safely and participate in the Activities, with no medical conditions that would prevent safe participation. I understand that it is my responsibility to consult with a physician before the traveler’s participation in the Activities. If I have done so, I have taken the physician’s advice on the traveler’s ability to participate.

Trips Inc.™ utilizes third-party contractors for certain activities and services. Trips Inc.™ has no control over, and assumes no responsibility for, the actions, conduct, or performance of any independent contractors providing services related to the Activities.

Trips Inc.™ requires all travelers to have a signed acknowledgement of risk and release of liability form (the waiver) on file. This agreement must be signed by the individual who has the legal right to consent to the terms of the waiver. If the Traveler has a legal guardian, the legal guardian must consent to and sign the waiver.
TRAVEL INSURANCE

I understand that Trips Inc.™ highly recommends all travelers purchase travel insurance to protect against unexpected events, including trip cancellations, delays, lost or damaged belongings, and medical emergencies. I acknowledge that it is the travelers responsibility to secure travel insurance if they choose to do so and that Trips Inc.™ is not responsible for any costs, losses, or liabilities that are incurred due to unexpected events.

Travel insurance is available through multiple independent travel insurance providers. Many providers have specific time frames when insurance must be purchased to cover pre-existing conditions. It is the responsibility of the traveler and their supporting personnel to be apprised of and comply with the requirements and policies of the insurance company/policy they choose.

All travelers that book an international trip or cruise must purchase travel insurance prior to the trip departure.
RIGHT TO MODIFY OR TERMINATE

Trips Inc.™may at any time determine, at its sole discretion, to modify or terminate activities for any reason, including but not limited to, the health and safety of travelers.

Trips Inc.™reserves the right to substitute accommodations, transportation, activities, chaperones, and to alter the itinerary as necessary. Substitutions will be of a similar nature where possible.

Trips Inc.™may, at its discretion, determine at any time that traveler lacks the physical or mental ability to safely participate in one or more activities and may terminate traveler’s participation in any individual activity or in the entire trip. In the event Trips Inc.™determines that a traveler’s participation in the tour must be terminated due to illness, behavior, or other safety reason, it is the sole responsibility of traveler’s care provider or guardian to assume responsibility for traveler within 24 hours after being put on notice of traveler’s termination from the tour and for arranging and bearing all expenses for alternate return travel, care and/or escort, lodging, or other necessary arrangements for traveler. No refunds will be issued in the event a traveler’s participation on a trip is terminated by Trips Inc.™

If a traveler elects to leave a trip in progress by their choice and/or the choice of their care provider, no refund shall be given. If the traveler and their care provider has chosen to allow the traveler to leave the trip in progress, the traveler or care provider shall be solely responsible for traveler’s travel plans once the traveler departs the trip and Trips Inc.™shall no longer have responsibility for or control over the traveler’s safety or activities once the traveler departs the trip. Any associated expenses that arise as a result of the traveler’s decision to depart the trip in progress are the responsibility of the traveler.

Trips Inc.™may at any time determine, at its sole discretion, to cancel a trip for an individual traveler or the entire group. If the decision to cancel the trip was for reasons entirely in the control of Trips Inc.™, refunds will be made in the amount paid.

Although unlikely, Trips Inc.™retains the right to implement surcharges as an alternative to trip cancellation if there are significant supplier price escalations within a compressed time frame.

It is the responsibility of traveler and/or their guardian to review the Terms of Service periodically to ensure they are aware of any updates. Continued use of our services after such changes constitutes acceptance of the updated Terms of Service.
